Foxfire Property Management Inc. is a Concord, NH based, full-service, one-stop property management resource firm with an experienced and dedicated team of property management professionals. We manage a variety of properties including: residential, commercial and government assisted housing and specialize in HOA, condominium and cooperative properties.

The Assistant Property Manager-Client Site is responsible for assisting the Property Manager in the daily business operations and management of the property or properties. This position will split their time between being on site at property and time in the corporate office.
Essential Duties and Responsibilities
- Answer telephone calls in a polite and professional manner and attend to walk-ins
- Communicate updates with Property Manager and Maintenance Technician as needed
- Update orientation material as needed
- Coordinate and manage clubhouse rentals and deposits
- Post monthly water invoice total and electric monthly total onto billing spreadsheet(s)
- Process work orders and update summary spreadsheet
- Maintain checklists such as: chimney inspections, dryer vent inspections, COI’s, violations and follow up with appropriate notices and/or fines
- Input late fees and send out collection notices
- Record minutes of Board of Director meetings and Finance Committee meetings and post to website, after approved
- Produce monthly newsletter. Post/update on Community website, eblast to residents and have copies available
- Copy packages for meetings as needed
- Follow up with owner issues as appropriate
- Promotes and supports Foxfire’s company policies and procedures
- Ability to work well with a diverse group of people
Additional Duties
- Create mailings as needed
- Complete projects as determined by the Property Manager
- Actively seeks other tasks when current work is complete
- Participate in ongoing education and training
- Other duties as assigned

Minimum Qualifications
- Education or Experience- Six months to one year of related experience in property management field or administrative assistance. Immediate knowledge of Word and Excel Software. Knowledge of Caliber software a plus.
- Language Skills- Must have developed language skills to the point to be able to: read and comprehend instructions, safety rules, and memos. Speak clearly, distinctly and with confidence using appropriate pauses, emphasis and punctuation.
- Mathematical Skills- Requires mathematical development sufficient to be able to: add, subtract, multiply and divide all units of measure.
- Reasoning Ability- Must have developed reasoning skills to be able to: apply common sense and understanding to carry out instructions in written, oral or diagram form. Ability to professionally deal with problems in standardized situations.
Physical Requirements
- Ability to pass drug test, background check and driver record check
- Possession of a valid driver’s license or ability/willingness to travel between properties
- Requires sitting, walking and standing to a significant degree, reaching, handling, lifting, talking, hearing and seeing
- Lifting up to 10 lbs. maximum
- Ability to operate standard office equipment including personal computer, copier, facsimile, telephone and calculator
