The Bookkeeper is a part-time, hourly position responsible to oversee the Association’s financial data and compliance by maintaining accurate records of accounts payable and receivable, payroll, and daily financial entries and reconciliations. Regular accounting tasks include such things as monthly financial reporting, general ledger entries, and record payments and adjustments. Additionally, basic Human Resource duties include preparation of new hire documents and maintaining employee folders, mandatory payroll deductions and compliance, Annual Workers Compensation Audit and upkeep of Certificates of Insurance documents for annual audit and disability insurance filings with insurance companies, as necessary. The bookkeeper is the liaison between the outside auditor and the Association and will work with the Association’s Treasurer to maintain accurate Association Accounting records.

Working toward a Bachelor of Science Degree in Accounting is preferred. Property Management Software knowledge or experience is a plus but not required. Excellent written and verbal communication skills are a must as the Bookkeeper will regularly communicate with outside auditors, owners and crew.

Bookkeeper Duties and Responsibilities:

  • Perform general bookkeeping duties, including posting transactions to general ledger accounts in software and regularly reconciling multiple accounts.

  • Receive owner HOA fee payments and post to owner ledgers.

  • Prepare and deliver bank deposits.

  • Record payroll liability and transactions to the general ledger and communicate with the payroll company as necessary to ensure payroll and payroll tax accuracy.

  • Pay debts as they come due, including necessary utilities as well as supplier and vendor invoices.

  • Perform reconciliations of bank accounts monthly to ensure accuracy and rectify any discrepancies.

  • Maintain the chart of accounts and vendor account listings.

  • Work with association treasurer to create annual budget for annual meeting.

  • Issue financial statements created by outside Auditors and CPA after annual audit/review.

  • Complete required year end adjusting entries as instructed by CPA firm.

  • Keep up with changes in the Buildium Accounting and Owner Ledger software.

  • Update Association Fee Assessment Master spreadsheet as needed to assure accuracy.

  • Enter new owners when a unit has been sold so that escrowed HOA fees may be received and posted to the new owner ledger.

  • Establish payment agreements with owners if their account becomes past due (but below $1,000) and inform the Board of Directors of owners with agreements in place.

  • Communicate with our attorney regarding past due owner accounts for collections/liens.

  • Communicate with owners as necessary.

  • Provide backup and other administrative support to office manager and assist Board of Directors when required.

  • Assist as necessary at the annual meeting.

Other duties as assigned by the Treasurer of Board of Directors.
