Job Summary:
The Executive Assistant to the CEO is responsible for daily high-level administrative support to the CEO of The Relax Group. This position serves as the ‘gatekeeper’ of the CEO, responsible for access to the CEO’s schedule and time. This position requires being available for the CEO as demands shift, change, or flex, typically 8:00 am to 5:00 pm. The Executive Assistant reports directly to the CEO and is expected to support the Executive Team, where necessary. The Executive Assistant to the CEO will have flexible hours of availability to include occasional nights and weekends, as requested. This position requires a morning and evening sync-up where the EA will review the current schedule, upcoming needs, and any changes to the day.
Primary Duties:

Manage and optimize the CEO’s calendar, including scheduling meetings, appointments, and travel. Must remain flexible with scheduling changes and requests as they arise.

Maintains the CEO’s schedule to balance time for preparation for meetings, time for projects, and time for self-care, rest, and reprieve.

Maintains the CEO’s calendar to ensure enough time is accounted for between meetings, client requests, vendors, and employee relations.

Confirms appointments with staff to ensure they are prepared for meetings before meeting with the CEO.

Serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO. Ensures the CEO is not unnecessarily interrupted by visitors. Leads internal and external stakeholders to the proper person, department, or channel for communication. For instance, finance matters to finance, sales matters to sales, HR matters to HR, etc.

Track follow-ups and action items to ensure timely completion.

Handle sensitive and confidential information with the utmost discretion.

Provides high-level administrative support and assistance to the CEO of The Relax Group.

Receives incoming communication (calls and emails) on behalf of the CEO, reviews content, determines importance, and summarizes and/or distributes content to appropriate staff. Draft and proofread internal and external communications on behalf of the CEO.

Maintains and takes meeting minutes that align with the Company's standard of taking and maintaining minutes.

Performs clerical and administrative tasks, including drafting letters, emails, memos, reports, and other documents for the CEO.

Organizes digital and physical files, binders, project notes, and digital organization for the CEO.

Responsible for ensuring the CEO is getting proper nutrients by ordering and picking up meals.

May require running administrative errands, including package pickup/delivery.

Maintains stock for the office refrigerator.

Responsible for planning for and anticipating the needs of clients' time on a monthly or as-needed basis. This includes scheduling pickup, drop off, meals, internal and external meetings with stakeholders, meeting documentation, note taking, and other necessary customer-facing needs. Must have exceptional client care skills and high emotional intelligence.

Completes assigned tasks by the CEO to free up the CEO’s time.

Identifies which meetings are necessary and which priority they fall. Prepares agendas for meetings. Coordinates refreshments, presentation hardware, meeting place, and notification to attendees of the meeting.

Arrange travel and accommodations for the CEO and clients.

Manages expenses, reimbursements, and vendor relationships (where necessary) for the CEO.

Attends meetings on behalf of the CEO, taking notes and recording minutes.

Efficiently providing information updates to the CEO from staff, division managers, and other sources, daily.

Anticipates needs and solves problems before they arise.

Must be available to drive the CEO between meetings, when necessary.

Education:

High school diploma required.

A bachelor’s degree in business administration or a related field is required.
Experience:

At least 5-10 years of related experience is required. Experience may include work as a paralegal, other executive assistant positions, secretary of a board, or any assistant work supporting the CEO or CEO of a company.
Licenses & Certificates:

Valid driver’s license required.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at a time.
